Sales Navigator vs Apollo (2026): Which Prospecting Tool Wins?
Sales Navigator finds and researches the right people on LinkedIn; Apollo gives you their emails and runs the sequences. 2026 prices, data, CRM sync and safety compared.
Sales Navigator vs Apollo is a choice between relationship intelligence and contact data. Sales Navigator ($119.99 a month) is the best tool for finding and researching the right people on LinkedIn, with alerts and InMail. Apollo (free, or from $49 a seat a month billed yearly) gives you their email addresses and phone numbers and sends the sequences. Most outbound teams end up using both.
We compared the two on their own pricing pages, help centers and product documentation in October 2026: data coverage, email and phone data, sequencing, CRM sync, AI, price, and the LinkedIn compliance question that most comparisons skip. You will also find a step-by-step workflow for using them together.

The verdict
- Choose Sales Navigator if you sell to a defined list of accounts, your buyers are active on LinkedIn, and you win through research, warm introductions and timing.
- Choose Apollo if you need volume: thousands of contactable leads, email sequences and a dialer for a small budget.
- Use both if you run account-based outbound: Sales Navigator decides who and when, Apollo supplies how to reach them.

Data coverage and search
Sales Navigator searches LinkedIn's own member data. LinkedIn's Sales Navigator page says you can search 1+ billion members and that 1.5M+ sellers use the product. Its plan page lists 50+ search filters, Account IQ and Lead IQ summaries, buyer intent, relationship mapping and real-time alerts on job changes and new content. Because the data is self-reported by members on their profiles, job titles and companies tend to be current for people who use LinkedIn actively.
Apollo is a database assembled from several sources. Its platform facts page claims 240M+ contacts and 30M+ companies, built from a contributor network of more than 2 million, engagement activity, public web crawling and third-party providers. Search includes basic filters on the free plan and advanced filters, intent topics, lookalikes and an AI filter on paid plans.
Both size claims come from the vendors themselves and measure different things: LinkedIn counts members, Apollo counts contact records. For prospecting, freshness matters more than size. Sales Navigator tends to win on accuracy of role and company; Apollo wins on how many of those people you can actually email. To get more from Sales Navigator search, see our guide to building high-quality lead lists in Sales Navigator.
Email and phone data
This is the clearest difference. Sales Navigator does not sell contact details, and LinkedIn's help center says it does not offer an option to export account and lead information to a file. You reach people inside LinkedIn, through InMail, connection requests or messages.
Apollo is built around contact data. Its pricing page prices a verified email at 1 credit and a phone number at 8 credits, with data enrichment costing 1 to 8 credits. Apollo claims 98 percent email accuracy on its platform facts page, based on its own verification process; treat that as a vendor figure and verify a sample of emails before a big send. Credits per plan:
- Free: 75 credits a month (900 a year).
- Basic: 2,500 credits a month on monthly billing, or 30,000 a year upfront on yearly billing.
- Professional: 4,000 credits a month, or 48,000 a year upfront.
- Organization: 72,000 credits a year per seat, minimum 3 seats.
At 8 credits per phone number, a Basic seat on monthly billing covers about 312 phone numbers a month, or 2,500 emails, or a mix. Credits do not roll over, so match the plan to what you will actually use.
Sequencing and outreach
Sales Navigator's outreach is LinkedIn-native. Every plan includes 50 InMail credits a month, and LinkedIn Help's InMail article explains that credits come back when a recipient responds within 90 days and that you can bank up to 150. There is no email sequencing. For writing InMails that get answered, see our Sales Navigator InMail best practices.
Apollo is a full sequencing tool. The free plan allows 2 sequences per team and 250 email sends a day; Basic has unlimited sequences with 250 daily sends; Professional and Organization add A/Z testing, unlimited daily sends, more mailboxes, call recording and AI insights. Apollo sequences can include LinkedIn steps, but its help center states that LinkedIn tasks must be completed manually: Apollo reminds you to send the connection request or message, and you do it yourself on LinkedIn.
CRM sync
Sales Navigator's CRM features scale with the plan. LinkedIn's help center lists CRM Sync for Salesforce, Microsoft Dynamics and HubSpot and the ability to create a lead in your CRM from Sales Navigator, both on Advanced Plus, plus Embedded Profiles that show Sales Navigator data inside the CRM. Core and Advanced have no automatic sync.
Apollo includes CRM integrations from the Basic plan, with automated CRM enrichment and CSV, CRM and API data enrichment, and its platform page describes bi-directional Salesforce workflows and HubSpot sync. For a small team on HubSpot, Apollo gets data into the CRM far more cheaply than Sales Navigator Advanced Plus.
AI features
Sales Navigator's AI is about research: Account IQ and Lead IQ summarise a company or person, and Message Assist drafts personalised InMails. Apollo's AI is about execution: an AI assistant, AI research runs at 1 credit each, AI lead scoring on Professional and above, and AI writing allowances that grow from 5,000 words a month on Free to 1,000,000 on Organization.

| Sales Navigator Advanced Plus | Custom quote | Custom quote | CRM sync and lead creation |
| Apollo Free | $0 | $0 | 75 credits a month, 2 sequences, 250 sends a day |

Ease of use
Sales Navigator is easier to start with if you already use LinkedIn: the interface is familiar, and saved searches and lead lists take minutes to set up. Apollo does much more, so it takes longer: you need to connect mailboxes, set up deliverability, write sequences and learn how credits are spent. Apollo's free plan helps, because you can learn the product before paying.
LinkedIn compliance and the Apollo extension risk
Sales Navigator is LinkedIn's own product, so using it as designed carries no terms-of-service risk. Apollo's Chrome extension is different. It works on LinkedIn profiles and, according to Apollo's help center, on Sales Navigator search and profile pages, where it shows suggested leads and any Apollo data that matches the profile you are viewing. Apollo notes you cannot bulk-select leads from Sales Navigator search results with the extension.
LinkedIn's help center says it does not permit browser extensions that scrape, modify the appearance of, or automate activity on its site, and that accounts using them can be restricted or shut down. In March 2025, MarTech reported that LinkedIn removed the company pages of Apollo and another lead-data vendor; Apollo's CEO said the company was working with LinkedIn to understand the restriction and that it did not disrupt Apollo's services. LinkedIn gave no public reason in that report.
What this means in practice:
- Apollo's database, sequences and CRM features do not depend on your LinkedIn account. The risk sits in using the extension on LinkedIn pages.
- Viewing an Apollo panel while you browse is lower risk than bulk activity. Apollo itself keeps LinkedIn steps manual.
- If your LinkedIn account is central to your pipeline, look up Apollo contacts from Apollo's own app or CRM integration rather than overlaying LinkedIn pages, and keep Sales Navigator work inside Sales Navigator.
- Check the data protection rules where your prospects live, such as GDPR in the EU and UK, before emailing anyone from any database. Having an address does not give you a lawful basis to use it.
Support and onboarding
Sales Navigator includes a dedicated account team and tailored training when purchased through a LinkedIn sales representative, which usually means team deals. Apollo offers a knowledge base, live AI help in its help center and dedicated support on Custom plans. Both have large user communities and plenty of third-party training.
How to test both during a free trial
Apollo's pricing page offers a 14-day trial of Basic or Professional that includes 75 credits, after which you can stay on the free plan. Sales Navigator offers free trials to eligible accounts. Run both trials in the same two weeks with one list so you compare like for like:
- Pick 50 accounts you would genuinely sell to, and the two buying roles you target.
- In Sales Navigator, save a lead search for those roles and count how many current, relevant people you find per account.
- In Apollo, search the same accounts and roles, and note how many have a verified email. Spend credits on 20 of them, not all.
- Send a short, personal email to 10 of those contacts and track bounces. A high bounce rate tells you more than any accuracy claim.
- Send InMail to 10 senior people with no verified email, and compare replies.
At the end you will know, for your market and your buyers, which tool finds the right people and which one reaches them. That answer can differ a lot between markets, for example US SaaS buyers versus procurement heads in the Gulf, so test with your own list instead of relying on either vendor's averages.

When to use Sales Navigator and Apollo together
The two tools cover different halves of outbound, so the combination is common. A workflow that keeps your LinkedIn account safe:
- Define accounts in Sales Navigator. Build an account list with filters such as headcount growth and recent funding, and save a lead search for each buying role.
- Watch for signals. Use alerts for job changes, new posts and buyer intent to decide who to contact this week.
- Warm up on LinkedIn. View profiles, comment on recent posts and send a short connection request.
- Find contact details in Apollo. Search the same people inside Apollo's app, reveal verified emails, and use phone credits only for top accounts.
- Sequence from Apollo. Run email steps from Apollo, with LinkedIn steps as manual tasks.
- Use InMail for the people email cannot reach. Sales Navigator's 50 monthly InMails work best for senior buyers with no verified email.
- Log everything in your CRM. Apollo's integration handles this from Basic upward.
Content helps the whole process. If a prospect has already seen your posts, your connection request arrives from a familiar name, so a steady posting habit is worth building alongside outbound; our best LinkedIn lead generation tools roundup covers both sides.
Which should you pick?
- Solo founder, low budget, needs meetings fast: Apollo Free or Basic, plus your free LinkedIn account for research.
- Account executive with a named territory: Sales Navigator Core first; add Apollo Basic when you need emails.
- SDR team doing volume outbound: Apollo Professional for sequences, with Sales Navigator Advanced for the senior reps.
- Enterprise team on Salesforce or Dynamics: Sales Navigator Advanced Plus for CRM sync, plus a data provider for contact details. Our Sales Navigator vs ZoomInfo comparison covers the enterprise data option.

Frequently Asked Questions
Is Apollo better than Sales Navigator?
Apollo is better for contact data and outreach volume: it gives you emails and phone numbers and runs email sequences, with a free plan and paid seats from $49 a month billed yearly. Sales Navigator is better for finding the right people and timing your approach on LinkedIn. They solve different problems, which is why many teams use both.
Does Sales Navigator give you email addresses?
No. Sales Navigator does not provide email addresses or phone numbers, and LinkedIn says it does not offer an export of lead and account data to a file. You contact leads through InMail, connection requests and messages. Teams that need emails pair it with a data provider such as Apollo.
Is the Apollo Chrome extension safe to use on LinkedIn?
It carries some risk. LinkedIn's help center says extensions that scrape or automate activity on its site violate the User Agreement and can lead to restrictions. Apollo keeps LinkedIn steps manual and its database works without the extension. To lower risk, look up contacts inside Apollo's own app instead of overlaying LinkedIn pages.
How much do Sales Navigator and Apollo cost together?
For one rep on yearly billing, Sales Navigator Core ($1,079.88 a year) plus Apollo Basic ($49 a seat a month, or $588 a year) comes to about $1,668 a year, based on both vendors' pricing pages in October 2026. That is less than Sales Navigator Advanced on its own.
Can Apollo replace Sales Navigator?
For high-volume email outbound, often yes: Apollo's search, intent filters and sequences cover the core workflow at a lower price. It cannot replace LinkedIn-native features such as TeamLink warm introductions, relationship maps, real-time job-change alerts on LinkedIn activity and InMail. If your buyers live on LinkedIn, keep Sales Navigator.
